5 Things You Should Do To Get The Most Out Of Your Automated Membership Renewals

Membership renewal time can be hectic and stressful, but membership management systems can make them a whole lot easier. I’m sure this is something you already know; however, even with a membership management system, there are a few things you can do to make sure your membership renewals go off without a hitch.

1. Check Membership Products and Prices

Before your members’ renewals are due, you should carefully review all your membership products, levels and their respective prices to ensure that all information is accurate and up-to-date. 

If you plan on changing the details, access or prices, this is a perfect time. However, you need to communicate these changes clearly and transparently, providing detailed information regarding the specifics of the changes and any updates to access or pricing. You can proceed to the next step once all changes have been made and everything is up to date.

2. Check Your Automated Renewal Email Wording

You will likely have a series of renewal emails set to send out to members before their renewals are due. If you usually customise your renewal reminder emails, this is the perfect time to double-check them. Ensuring they are all up to date and that what’s actually written in them is something you are still happy with. 

If you don’t usually customise your renewal reminder emails, this is a good time to have a  crack at it. It doesn’t need to be anything too detailed and shouldn’t be specific to individuals. 3. Check That Your Membership Coordinator Email Is Up To Date

Once your members start renewing their membership, all those confirmation of renewal emails will start rolling into your Membership Coordinator’s email. So, it’s worth double-checking that they will go to the correct email address. You can find this information in the “Membership General Settings”. This is especially important if your management cycles through roles regularly or if there has been a role change recently. The last thing you want is those important renewal confirmation emails going to the wrong person or disappearing into the ether.  

4. Check When Your Automated Renewal Reminder Emails Are Set

Once You have ensured that the wording in your renewal reminder emails is up to date, it’s time to ensure they are set to go out at the right time. In “Membership General Settings”, you can select your renewal reminder emails to go out a certain number of days before or after renewals are due. The best practice would be to set up a reminder to go out two to four weeks before renewals are due, another to go out a few days prior to expiry,  and another reminder to go out two weeks after renewals are due to catch anyone who forgot to renew their membership. 

Once these emails are set to go out, the automated renewal process will be ready to take place, and you can sit back and watch the membership renewals roll in.

5. Remind Your Members Of The Value Of Their Membership

Making sure your members know about all the great events and activities coming up after renewals can be a great way to ensure that more members renew their memberships. So take the time to remind them of all the value that your club’s membership offers. You can do this in various ways, from news posts on your website to emails to all your members and even including these upcoming events in your renewal reminder emails. A little teaser of all the great things to come after they renew their memberships can be great to include in your reminder emails.
