Don't Let Your Committee Get Lost in the Jungle: A Guide To Member Jungle Committee Access

I was looking into jungle-themed things to start this article when I was reminded of my all-time favourite moment from a documentary. It is from Burden of Dreams, the documentary about the nightmare production of the movie Fitzcarraldo. In this scene, the legendary Werner Herzog gives an eloquent, dour, gothic, and hilarious, unscripted, several-minute monologue about the jungle they were filming in. 

He delivers the entire thing while making this face.

And says some of the greatest lines anyone has ever said. For example: 

“It’s a land, that god, if he exists, has created in anger,” 

and 

“Taking a close look at what's around us there is some sort of a harmony. It is the harmony of... overwhelming and collective murder,”. 

It’s a phenomenal speech, and I wish I could write half as well as Herzog speaks.

I bring this up because jungles, whether literal jungles or figurative membership jungles, can be a pretty overwhelming thing to deal with. 

However, that’s why Member Jungle is here to make membership easy and fun and ensure no one gets lost in the figurative jungle. To that end, today we will talk about what roles you will likely need when running your club or association and what access you need to give them in your Member Jungle system. One of the best parts of this is that you can tailor the access your committee members have to be only the exact access they need. 

Why You Should Customise Your Committee Members’ Access 

Customising the access your committee members have is important for several reasons. 

First, if committee members can only access and change their parts of the system, it reduces the chance of someone accidentally messing something up elsewhere and simplifies things for everyone.

Second, it is much better for security if committee members only have access to the specific areas they need rather than everyone having unlimited access. 

Third, when people are learning a new system, there's no need to overwhelm them with everything at once, especially if they don't need to use it. Creating access levels so that people can easily find and use what they need simplifies the transition process of moving to a new system and when there is a changeover of committee members.

If you have someone who needs to log in to post new events, you don't need to give them access to Accounting or Membership. All they need is access to Events.

With this in mind, let's look at the roles you likely require and what type of system access each of those roles give. All the roles listed below have already been set up on your trial site.

 

Why You Should Customise Your Committee Members’ Access 

 

You do not have to use these; you can edit them or create new roles. We just thought these ones would be a useful starting point. These are our recommendations; you are free to set up your site and permissions however you see fit. 

In this article, I will briefly cover each role and give you a video explaining exactly what it is and what permissions it has if you decide to use it. 

How To Give The Right Access To Your Full Site Administrator

Your full site Administrator is the central role of your system and will most likely be the only role with full site-wide access. This person will have access to the entire system, and they will be in charge of ensuring everyone else has the right permissions.

If your full site administrator leaves the club, you will need to replace them, so you always have at least one person in this role. For more details on how to do that, please see 3 Easy Steps To Take When Your Club Has A Site Administrator Change.

How To Give The Right Access To Your Membership Administrator 

Your Membership Administrator is responsible for managing your membership. They handle member sign-ups and renewals, keep the Member Jungle database accurate and up-to-date, and provide excellent customer service to your members.

This means they need full Membership access in Member Jungle. This allows them to view, edit, and manage all member data within the system. They can approve new member applications, manage renewals and cancellations, update member details, and communicate with members using Member Jungle's messaging features. They should also have access to the Member Jungle App module, which lets them approve pending member applications and access member details on the go.

If you don’t want to give someone too much access but would like them to be able to just see a full list of members on the mobile app, check out the role called “Membership Access on the Mobile App”. This is setup for view-only access of members.

How To Give The Right Access To Your Communication Officer 

You know, I am basically the communications officer for Member Jungle, and I can tell you from experience that it's a noble job, heroic even. No, I'm not calling myself a hero; that's for others to say. 

Your mighty, impressive Communications Officer is the key to keeping your members informed and engaged with what's going on in your club. They put together great newsletters, manage your social media presence, write blogs, and generally ensure your club's communication is clear and effective and reaches the right people. 

To help ensure they can continue to do this impressive task, we suggest you might need to give them full access to your Blog and News Modules and Email Campaign.

How To Give The Right Access To Your Event Manager and Event Coordinator.

Your Event Manager is in charge of planning, organising, running, and evaluating all of your club's events. As such, they will need full access to your event module and potentially could also use some limited access to the email module, but it's up to you to decide whether that's needed or not. 

Your Event Coordinator has limited access, so they can mark attendance at events using the Member Jungle system.

How To Give The Right Access To Your Treasurer 

We all know what a treasurer does. They are your financial guru, the person responsible for managing funds, tracking expenses, and ensuring that you're going to be able to keep operating and paying bills. Unsurprisingly, then, you are going to need to give your treasurer full access to your system payments so that they can do what they need to do.

How To Give The Right Access To Your Committee or Board Members 

Committee or board members typically focus on decision-making and planning instead of day-to-day operations within the system. Therefore, giving them full access to all features is likely not needed. 

Often though, your committee or board needs to access content or information that is not available to the general public or to your members. You can still use roles to give people restricted access on the site to see things once they login in like Documents in the Library (i.e. meeting minutes), committee events and even special restricted pages.
