How The SYP Historic Vehicle Club Used Member Jungle To Help Run Their 2024 Bottom End Rally

We have previously examined why the SYP Historic Vehicle Club chose to use Member Jungle and their experiences doing so. Today, however, we are going to focus on something that we only touched on briefly during that customer story; how the system has helped them run their events.

Before signing up with Member Jungle, the SYP were using old-fashioned manual methods to run their club and club events. This was proving tricky as they had a lot of members with even more cars and bikes to manage, all of which were spread out over a huge geographical area and across two states. So that was one of many reasons they decided to invest in a membership management system to make running their club easier. 

Once Member Jungle was in place, the SYP used it to help hold their biggest annual event, their Bottom End Rally. A 300-plus km coastal cruise through the Southern Yorke Peninsula. Planning an event of this size usually comes with a whole host of challenges and stress, but Member Jungle’s purpose is to make that a lot easier, so let's explore how their experience with Member Jungle unfolded. I spoke with Kali Germein, SYP's Secretary and Treasurer, earlier this year to find out.

How The SYP Historic Vehicle Club Use Member Jungle For Their Events

When Kali Germein took over the Secretary and Treasurer positions at SYP, she knew that she wanted a digital system to help make her life easy and improve her club. 

“I immediately went to look for a system that would help us because I was handed over these books and things for the secretary and the treasurer roles and I was like, I'd love to have this on a computer, and I can just search for whatever I need. So, that's why we went initially looking,” Kali explained. 

As I mentioned above, once the SYP had signed up with Member Jungle, they set about planning their biggest annual event. Rather than me explaining this any further, let’s just hear what Kali had to say. 

"I really wanted Member Jungle in place before we had that rally because I just don't think myself, being of the generation that I am, could have coped doing it with paper and pencil and manually adding everything up. I would have got something wrong,”

“So, that event through Member Jungle was helpful to me because I had it all at my fingertips. You just set up the event as you would like it, and if someone wanted two nights' accommodation and they wanted all the meals, Member Jungle just tallied it all up. People were able to pay by bank deposit, which is the main way that we run things, or they were able to bring the correct cash to a meeting,” 

“Whereas the old way, someone would have to give us a phone call, we'd have to write it all down and keep track of what they wanted. With Member Jungle, you could select the accommodation people and just send them an email saying hey, the equation's changed. You could just pick apart whatever you needed,”

“It was all recorded, too; as soon as someone joined your event, you got an email about it. So there's no chance of anything getting missed, either. If we did get an entry through the post, I would just tap it straight into Member Jungle myself,”  

“We had a lot of people enter online; we had about a hundred people attend, and they were able to select what they wanted from their home and pay for it online, and then just rock up to the rally. So, it was a real winner for me,”

“The other thing was issuing refunds. So we had some people that had to pull out, so you basically just pulled up their total, and you just did a bank refund to them. It was just so simple.” 

I know that was quite a long quote there, but I think we can all agree that hearing what Kali has to say about using the system for herself is worth a thousand times anything I could write.

How The SYP Historic Vehicle Club Found Using Member Jungle To Analyse Their Event Afterwards 

One of the best things about the Member Jungle Event Module is how it allows you to break down and analyse your events after the fact so that you can constantly improve your events. So once again, rather than me rabbiting on, let’s hand the metaphorical back over to Kali and hear how she found this in her own words. 

“Then, from the club's perspective, after the event, we were able to filter down the searches, and we could say, ‘Saturday night was that successful for us?’ We had X amount for dinner, and then I could go back to my other books and say, ‘Well, dinner cost us this much, but we made this much back. So let's keep Saturday night as it is because it's obviously a good fundraiser for the club,” 

“And then there were other things we might need to update. Like we might need to change the accommodation because we're losing on it,”

“So this year, we said we need more volunteers. If we could do this particular thing ourselves, we would save money here. It really was the whole shebang,” 

“Anything anyone wanted, if there were any questions from the committee like ‘What did Tuesday night cost us?’ I could just say, “Here, this is what it is’ Straight away. Whatever they wanted to know, I could pull up,"

“Probably my favourite part of it was analysing it afterwards. You could really break it down; it was great. So, I don't think that the rally, as an event, has been pulled apart and analysed like this before.” 

Again, another long string of running quotes, but Kali had so many good things to say I really think that me butting in to talk at you wouldn't be helpful.
