How To Convince Your Committee To Sign Up With Member Jungle - With Downloadable Presentation Template

One of my favourite books of all time starts with the following:

How To Convince Your Committee To Sign Up With Member Jungle

I’m sharing this because it just feels so true that right from the very beginning of time, there have been people complaining about any and all changes and saying that things are perfectly fine as they are.

Chances are, if you’re reading this, someone on your club’s committee has been saying something pretty similar: that everything works perfectly well as it is and that they don’t think you need this new digital system.

Again, chances are that you disagree with that point and are trying to do your best to show them how helpful a system like Member Jungle could be for your club or association. If that is you, then this article is for you. In it, we will cover everything you need to know to convince your committee to onboard with Member Jungle.

This article will cover the following:

  • The Biggest Concerns Committee Members Have
  • How To Address Those Concerns
  • How To Design The Perfect Presentation For Your Committee (with a presentation template)
  • Several Articles And Videos To Share With Your Committee
  • Details On How To Get Training For Your Committee (they probably don’t want to do training right now, but knowing the options there should help)
  • Your Next Steps

The 3 Biggest Concerns Committee Members Have When It Comes To A New Membership Management System

The average committee members can be broken down into one of three categories:

  1. Will this cost us too much?
  2. What if this is too complicated?
  3. I like being busy; what will I do if this system automates my jobs?

Now, of course, your committee members might have another type of concern. Still, the vast majority of concerns will fall into one of these three categories. So, with that in mind, let’s look at how you can best address these issues.

Committee Members’ Concerns Over Costs

One of committee members' most common concerns is the cost of membership management systems like Member Jungle. This is fair enough; it is an important aspect of this equation. You want this system to help you not bankrupt you.

The first step to overcoming these concerns is having a concrete figure on upfront and ongoing costs. This is also definitely something that your treasurer is going to want to know. You can calculate exactly how much Member Jungle will cost your club by going to our Pricing Calculator and reading How To Work Out How Much Member Jungle Will Cost Your Club. It is also worth reading What Are The "Hidden" Fees At Member Jungle?

These articles will show you how to calculate precisely what Member Jungle will cost your club so you can walk into your meeting with firm numbers for your committee. This is a great first step to overcoming the pricing concerns your committee members will likely have, but we aren't done with cost concerns yet.

The next step is carefully examining and breaking down your savings when switching to Member Jungle. Do you currently pay for other systems, such as email campaigns, web hosting, event management systems, or EFTPOS machines? If so, Member Jungle will replace all of those systems and more, so you should factor in those cost savings.

Are you also spending money on envelopes, printing membership renewals, and posting them off, all for just a few dollars per renewal notice? If that's the case, you need to add up those savings and ensure your committee is aware of how these savings can offset the cost of Member Jungle.

Finally, while this part is not an exact science, you need to start thinking about how the Member Jungle system will enable your club to make more money. It will likely allow you to increase your income in the following ways:

With this, you should be able to calculate roughly how much extra your club could be earning with Member Jungle.

You should now have three different numbers for your committee, two exact and one rough:

  1. How much Member Jungle will cost
  2. How much you will save by switching
  3. How much you will roughly increase your income with Member Jungle

This will give your committee members a much less scary and achievable number to work with.

Committee Members’ Concerns Over How Complicated The System Is

Another big concern you are likely going to run into is around how complicated the system is. It doesn’t really matter if you and your committee members are 21 or 101; no one wants an over-complicated system to have to learn. So, the Member Jungle system has been specifically designed to be user-friendly for everyone, regardless of skill level or age.

Member Jungle has been designed to be easy to use, requires very basic computer experience, and offers lots of built-in help. So, chances are all of your committee members and club members will be able to use the system perfectly well. So, it’s really about ensuring everyone feels confident in their ability to use the system.

So, with that in mind, let’s discuss how to ensure your committee members feel confident in their ability to use the system.

The first step to ensuring your committee members are confident in their ability to use the Member Jungle system is to sign up for a free Member Jungle trial. This way, you can show them first-hand how the system works and how simple it is. When they are ready, you should add them to the free trial so they can explore it for themselves; don't rush them to this part.

You should also ensure that all of your committee members know about all the available help. They should know about all of the below types of help and support they can get before the system goes live and at any point when it is live:

  • The Learning Centre - Helpful and informative articles on all things membership management.
  • The Support Portal - A collection of articles and guides to show you how to do anything and everything in the Member Jungle system.
  • Fortnightly Webinars - Demonstrations and Q&A sessions that anyone can attend to get all of their questions about the system answered.
  • Training Videos - A library of training videos showing you how to use different parts of the system.
  • Committee Training - Book training sessions designed for committee members.
  • Free & Paid Training - Book free and paid training sessions.
  • Support Tickets - The ability to lodge online support requests at any time and receive swift help from the Member Jungle Support Team

Now, I’m definitely not suggesting just sending them an email with all the above links and telling them to fend for themselves, but showing them how much support and training they have at their fingertips coupled with being able to give them hands-on experience with the trial site will go a long way in easing their fears.

Committee Members' Concerns Over What They Will Do With Free Time

While this issue may seem counterintuitive, it is a concern that we've heard a lot. Committee members and club volunteers who are either retired or semi-retired often like that helping out or running the club takes up a lot of their time and keeps them busy. They often are concerned that if a lot of the club's operations are automated by a system like Member Jungle, they will suddenly lose the helpful thing that keeps them busy.

This is an understandable concern, but it is unlikely to be shared by everyone. A lot of people, most likely including you, would probably quite like the running of the club to take up a little less of your free time.

So, the first step in combating this particular concern is to be honest with those members and explain how helpful it would be to you and others if you had some more free time.

The second step in dealing with this particular concern is to reframe how they think about it. They aren't getting more free time; they are getting more time to invest in other aspects of the club and start improving parts of the club that haven't been getting the love they deserve. If you can get concerned committee members to start thinking about all the fantastic stuff they can do with their newfound time, you will be well on your way to solving this problem.

So, with that in mind, let's quickly look at some ways you can reinvest your time into improving your club. You can reinvest that newfound time straight back into your club via:

With that, we have covered the main concerns that committee members tend to have, and you’ve got a whole bunch of resources to help you address them. However, we aren’t done yet; we still have one more topic to cover.

How To Design The Perfect Presentation For Your Committee

I’m not going to waste both our time by explaining why a presentation is important; we both already know that presentations are an important tool.

With that in mind, I made up a quick presentation template in Canva that you can use as a starting point for your own presentation. You can sign in to Canva or create a free account if you don’t already have one. There, you will be able to edit the template as much or as little as you’d like, download it, or simply use it for inspiration.

You can get access to the Member Jungle Presentation Template here.
